Enrollment Procedures

Below are the general steps for enrollment as well as information regarding enrollment fees and documents. Detailed information regarding your enrollment procedure will be sent after being accepted into APU.

Once Enrollment Fee 1 and 2 have been paid and all necessary documents have been received by APU, the process to obtain a student visa will begin.

Also, the Online Pre-Seminar for Admitted Students is scheduled around February for April enrollment and around June for September enrollment. It is not mandatory to join, however, it will be a great chance for you to experience APU classes prior to your enrollment. Held by APU faculty, the pre-seminar includes mini lectures, a Q&A session, as well as an overview on how classes will be conducted.

1. Enrollment Fee 1 Payment
  • Admission Fee: 200,000 JPY

A non-refundable fee of 200,000 JPY is required for all students (regardless of scholarship amount) to enroll at APU. Be sure to pay the Admissions Fee only after you have firmly decided to enroll at APU and have made a clear and firm financial plan to cover your expenses both before and after your enrollment to APU.

2. Document Submission

    Complete the required information within the Online Enrollment Procedures System:

    • 2)Student Information Card and photograph
    • 3)Confirmation of Residence at AP House
    • 4)Student Health Questionnaire (including Immunization Record of Measles and Rubella)
    • 5)Copy of valid passport (if you did not submit one at the time of application)
    • 6)Comprehensive Insurance for Students Lives Coupled with “Gakkensai” Application
    • 7)Complete the COE Application Information (if you require a new visa)
    • 8)Additional PDF uploads of documents 14), 15), 16), 17), 18), 19) and 20) below
  • Original Versions of Application Documents SEND BY POST

    • 9)Academic Transcripts (Original certificate or certified document*1)
    • 10)Standardized Test Results (Original certificate or certified document*1)
      Required only if you submitted standardized tests results with your application and did not request to send your results to APU directly from the test provider.
    • 11)Results of Language Proficiency Tests (Original only)
      Required if you submitted results for the TOEIC® L&R Test, EIKEN, or JLPT.You may also be required to submit original or certified documents for other tests.
    • 12)Translation Documents (Original only)
      English or Japanese translations are required for any of the above documents written in languages other than English or Japanese. Submit an official translation that includes the translator's name, address, contact details, and signature or official seal. APU will only accept translations created by the original document's issuing institution, a translation company, or a licensed translator
    • APU will not return any of the submitted documents, regardless of the certificate type. Submit certified documents*1 for original documents that cannot be reissued. Please note that submitted certificates will be discarded under APU's Document Preservation Regulation.
    • If the original or certified documents you submit differ from those you uploaded within the online application, or if any false information or forgeries are found within the submitted documents, your acceptance to APU will be revoked.

    • 16)Documents to prove financial sponsor's income and/or financial sponsor's bank account balance statement (Original only)
    • 17)Certificate of Graduation or Completion from the last educational institution you attended (Original certificate or certified document*1)
    • 18)Translation Documents (Original only)
      English or Japanese translations are required for any of the above documents written in languages other than English or Japanese. Submit an offi cial translation that includes the translator's name, address, contact details, and signature or official seal. APU will only accept translations created by the original document's issuing institution, a translation company, or a licensed translator
    • 19)Additional documents requested by APU

    *1A certified document is one that has been marked as being equivalent to the original with a stamp or seal by the issuing institution (preferred) or a notary public.

3. Enrollment Fee 2 Payment

You must pay your First Semester Tuition, AP House Entrance Fee, and Comprehensive Renters' Insurance before your payment deadline. Please refer to your Invoice for Required Enrollment Fees and Procedures for the amount.

  • First Semester Tuition
    You must pay your first semester's tuition before enrolling. Your tuition will vary according to your APU Tuition Reduction Scholarship percentage. Refer to the Invoice for Required Enrollment Fees and Procedures for the amount.
  • AP House Entrance Fee
    New students are required to stay in AP House for their first year (approx. 11 months) and must pay the 234,000 JPY AP House Entrance Fee (includes advance rent payments as well as the moving-in fee and security deposit) upfront.
    The AP House Entrance Fee for AP House Global Community Scholarship Recipients is 130,000 JPY (includes the moving-in fee and security deposit).
  • Comprehensive Renters’ Insurance
    This insurance is for protection in case of liability, and all international students who possess a student visa need to join this program. For more information, refer to the Guide to Comprehensive Renters’ Insurance for International Students Studying in Japan found in the Online Enrollment Procedures System. (The fees are subject to change. Even if you do not stay in AP House, you must still pay the Comprehensive Renters' Insurance.)
    • First Year Student: 17,540 JPY
    • Second Year Student: 13,400 JPY
    • Third Year Student: 9,250 JPY
4. Student Visa, Arrival at APU, Orientation

Please make your flight arrangements after checking the AP House move-in period scheduled by APU as shown below:
General Move-in Period

  • At the end of March for April enrollees
  • In the middle of September for September enrollees

The exact dates of the move-in period will be announced around January for April enrollment and around July for September enrollment.

What is a student visa?
A.

A student visa is issued by your local Japanese embassy/consulate and grants you permission to enter Japan for an extended period of time and undertake university level studies. However, before you can apply for a student visa, you must obtain a Certificate of Eligibility (COE).

What is a Certificate of Eligibility (COE)?
A.

A Certificate of Eligibility (COE) is a document that is required to obtain a visa and is issued by the Immigration Bureau of Japan. If you are accepted and plan to enroll at APU, APU will apply for the COE on your behalf once you complete all enrollment procedures. Through the Online Enrollment Procedure System you can submit information necessary for your COE. Enrollment Procedures Handbook can be found within the Online System and please follow the instruction in the Handbook on what documents to submit and how to complete the procedure. When the Immigration Bureau of Japan issues your COE via email, APU will forward the email to you. You must then apply at your local Japanese Embassy/Consulate for your student visa. Be sure to inquire at the Japanese Embassy/Consulate in advance about what documents are necessary to apply for a student visa and have them ready.

As part of the COE application, I must send documents such as bank statements. Can I send a photocopy?
A.

First, please upload official documents such as bank statements or income statements on the APU Online Enrollment System. After APU confirms that the documents are acceptable, please send these documents to APU by the document submission deadline. If there is any problem with the documents, APU will contact you. If you submit photocopies, we will not be able to apply for your COE until the original document or certified copy is received. If you send us an original document that cannot be reissued, it can be returned to you upon request.

I have submitted all documents and paid all enrollment fees. When will I receive my COE?
A.

Once APU has received all your documents and enrollment fee payments, your COE application will be processed and submitted to the Immigration Bureau. Once your COE application is approved, you will receive your COE by email. Most incoming students may expect to receive their COE during the following months: February – mid March (April Enrollment), July – early September (September Enrollment). As the COE issue date varies among the students and each year, we cannot guarantee that each student will receive their COE during the above mentioned months.

Q.
When should I travel to Japan/APU?
A.

APU will advise you on the dates that you should arrive on campus. Arrival Assistance is available for those who arrive on the dates specified by the university before the semester begins. You should not arrive on campus earlier than the specified dates as there will be no available rooms in the dormitory, and you will have to look on your own for accommodation.

What airport in Japan should I fly in to?
A.

If you would like to take advantage of APU's Arrival Assistance Service where we help you go directly from the airport to our campus, we recommend flying into Fukuoka Airport, the closest international airport to APU. The closest domestic airport to APU is Oita Airport, but unfortunately we do not currently offer Arrival Assistance at that airport. Arrival assistance will be provided at Fukuoka Airport on specified dates only.

Q.
Can my family accompany me when I travel to APU for the first time?
A.

Your family can accompany you to APU, but they will need to find their own accommodation and transportation during their stay. If they need a visa to enter Japan, they will also have to apply for their visas on their own. If your family needs an invitation letter to obtain a visa to visit Japan, contact us via the Inquiry Form.
